Madron Media
Privacy Policy
Effective date: October 29, 2026
Tristen Madron, doing business as Madron Media (“we,” “us,” or “our”), respects your privacy. This policy explains how we collect, use, and protect information when you visit our website, contact us, or book our real estate media services.
1. Information we collect
Depending on how you interact with us, we may collect:
- Your name, email address, phone number, and business or brokerage name.
- Property addresses, appointment details, and information about requested services.
- Property access instructions, including gate codes and lockbox codes.
- Billing details, payment status, and transaction records.
- Messages and other information you choose to provide.
Our website and hosting providers may also process technical information, such as your IP address, browser type, and server logs, to operate and secure the website.
If you book from a device, your browser may store your name, email, and phone number on that device so they can be suggested next time. You can remove this by clearing your browser's site data.
2. How we use your information
We use information to:
- Respond to inquiries and manage appointments.
- Provide quotes, confirmations, and service updates.
- Access properties with authorization and complete booked services.
- Process payments and refunds.
- Deliver photographs, videos, and other media.
- Maintain necessary business records, resolve disputes, and protect against fraud.
- Meet applicable legal obligations.
Providing your contact information for a booking does not, by itself, constitute consent to unrelated promotional text messages or calls.
3. When information is shared
We do not sell or rent your personal information or share it with third parties for their own marketing.
We may share information as reasonably necessary with providers that support our business, including website hosting, booking, payment processing, communications, file delivery, and media production providers. Authorized photographers or other personnel may receive information needed to complete your booking.
We may also disclose information when required by law or reasonably necessary to respond to legal claims, prevent fraud, or protect people, property, or our systems.
Property media and listing information are delivered to you and any recipients you authorize as part of the service. Confidential access instructions are not included in publicly shared materials.
4. Gate codes, lockbox codes, and property access
We treat gate codes, lockbox codes, alarm instructions, and similar access details as confidential.
These details are used only for authorized access and coordination of your services. Access is limited to authorized people and systems that need the information to complete the booking.
We do not publish access codes or include them in marketing materials. Access instructions and booking notes are permanently erased from our booking records when your media is delivered. Copies may remain briefly in routine backups or booking notification emails until they are deleted.
Please provide only the access information needed for your appointment and notify us promptly if it changes.
5. Payment information
Payments and saved payment methods are handled through Stripe. We do not store full payment card numbers or card security codes in our own booking records.
We may receive limited payment information, such as transaction status, card brand, and the last four digits of a card number. Stripe handles payment information under its own privacy policy, available at https://stripe.com/privacy.
Payment timing and authorization are described in our Terms and Conditions and Refund and Cancellation Policy.
6. Information security and retention
We use reasonable administrative, technical, and organizational safeguards to protect personal information. However, no website, electronic transmission, or storage system can guarantee absolute security.
We retain information only as reasonably necessary to provide services, maintain business and financial records, meet legal obligations, and resolve disputes. Retention periods vary according to the information and its purpose. Information that is no longer needed is deleted or de-identified, subject to routine backup cycles.
7. Your choices and requests
You may contact us to ask about the personal information we hold about you or request access, correction, or deletion.
We may need to verify your identity before fulfilling a request. Some information may need to be retained for legal, accounting, security, or dispute-resolution purposes. We will respond in accordance with applicable law.
We do not currently send promotional emails. If we do in the future, each will include an unsubscribe option. We may still send communications necessary to manage an active booking or transaction.
8. Third-party services and links
Our website or delivered media may link to third-party services, such as Stripe for payments and Dropbox for media delivery. Those providers may collect information under their own privacy policies. We encourage you to review their policies when using their services.
9. Changes to this policy
We may update this policy as our services or information practices change. The effective date above identifies the latest version. Where required by law, we will provide additional notice or obtain consent before applying material changes.
